Your own team's records — distinct from a Contact (someone outside your company) and a User (a login). An Employee can optionally get both.
New Employee on the Employees grid — the only required field is Employee Name. Everything else can be filled in after. Only Administrators can open the edit dialog at all; everyone else sees a plain read-only list.
Employee — name, nickname, linked Contact, email, job title, mobile phone, hire date, employment end date, Active flag. Org Structure — Position in Company (an org-chart tree picker), Reports To, Pay Period, Mobile Carrier, Exit Reason, Employment Type, Work Location. Personal & Emergency Contact — Date of Birth, Personal Email, Emergency Contact Name/Phone/Relationship. Additional Information — Comment, Email Signature, Last 4 SSN. Audit Details — read-only, collapsed by default.
Custom Fields, Dependents, Important Dates, Leave Balances, Health Info, Benefits, and Certifications & Degrees all show a "Save the employee first" placeholder until the initial record exists.
Each Dependent links to a real Contact record (name, DOB, relationship, plus Gender/Email/Mobile Phone/Address for an adult dependent who has their own). This means a Dependent's birthday automatically shows up in Important Dates/Birthdays & Anniversaries tracking, and the full Contact record is one click away from the Dependent edit dialog (View full Contact record).
Shows this Employee's current-year balance per leave type (granted/used/remaining). Administrators can Grant / Adjust the hours granted for the year. See the Leave Management guide for the full request/approval workflow.
A checklist of workplace-relevant health/disability flags (allergies, known conditions, accommodation needs), each with an optional detail note, plus a free-text Emergency Medical Instructions field. This tab is only visible to roles explicitly granted it in Roles & Permissions — unlike most tabs, holding general Employees access alone does not show it.
Per-employee enrollment against a Benefit Plan (an editable Reference Admin list — include the provider name in the plan description, e.g. "Health – BlueCross PPO"). Each enrollment tracks effective/end date, employee cost, and active status.
Tracks licenses, certifications, and degrees against an editable Credential Type list — seeded with common trade licenses (OSHA, electrician, plumber, HVAC, mechanic), degrees, and IT/PM certifications (Network+/CCNA, PMP, Scrum Master), alongside the existing business-license types. Add your own if your industry needs something specific. Each entry tracks valid-from/expiration dates.
Once saved, the "System Login" field shows a Create Login button (or a "Has login" badge if one already exists). Clicking it asks for an Email (this is also their username — no separate one to set) and which Roles to grant, then emails them a "set your password" link valid for one hour. If the Employee has no linked Contact yet, one is created automatically behind the scenes.
