Sending Email/SMS

One compose form handles both channels — the Communication Type you pick determines whether it goes out as an email or a text, to exactly who you select, with real client/vendor safety checks built in.

Start a new Communication — from anywhere it makes sense

Every entry point opens the exact same compose form — nothing is different about how you send from one place versus another. Where you start from just decides what "Relates To" gets pre-filled:

  • Top banner — Email button (envelope icon, next to Help/Submit Ticket): opens a blank compose form directly, maximized, from any page in the app. Nothing pre-filled — fastest way to send something unrelated to any specific record.
  • Communications page (side menu → Communications): the full list of every Communication site-wide, with its own New Communication button.
  • A Project's own Communications tab: pre-fills "Relates To" as that Project.
  • A Company's own Communications tab: pre-fills "Relates To" as that Company.
  • A Person's own Communications tab: pre-fills "Relates To" as that Person.
  • A Lead's own Communications tab: pre-fills "Relates To" as that Lead.
Worth knowing: "Relates To" is never locked in — even if it's pre-filled, you can still change it (or clear it to None) right on the form before sending.

Pick the Communication Type — this chooses the channel

Email sends an email. SMS / Text sends a text message. There's no separate "Send SMS" checkbox — the type you pick here is what actually goes out.

From User and Communication Date sit on the same row — From User personalizes the "From" name recipients see on an email (e.g. "Jane Smith" instead of a generic sender).

Set "Relates To" before picking recipients

Choose Project, Company, Person, Lead, or leave it None for a personal message unrelated to any record.

Worth knowing: pick this first — when it's a Project, the recipient picker scopes down to only that project's real resources (client, vendor, sales person, estimator, whoever's actually assigned), each labeled with their role right in the list. Company/Person/Lead/None pick from every contact in the site instead.

Select recipients — To, Cc, Bcc

Each field is a checkbox multi-select: click to open, check as many people as you need, click away when done — the list doesn't close after every pick. Every entry shows the person's name, their role/company if relevant, and their email address in smaller text underneath, so you can confirm you've got the right person before sending.

Need someone who isn't in the system yet? Click + New Contact right from the recipient field — enter name, email, and phone, and they're added and selected immediately.

Built-in safety check: a message can never go to both a client-side and a vendor-side recipient at once — Save is blocked outright if you try, so a cost/price email meant for a vendor can never accidentally also reach a client. Portal visibility (whether a client or vendor can see the thread at all) is derived automatically from who's actually in the recipient list — there's no separate visibility checkbox to get wrong.

Write the message

Fill in Message Subject and Description (side by side), then write the Message Body in the rich text editor — bold, italic, underline, bullet/numbered lists, alignment, hyperlinks, and images are all available on the toolbar.

Worth knowing: formatting only applies to the email channel. If the Communication Type is SMS / Text, the same body is sent with formatting stripped down to plain text automatically — you don't need a separate plain-text version.

Your signature (optional)

Set a personal Email Signature once under your avatar → My Profile. From then on, every compose form shows an Include Signature checkbox, checked by default — it drops your signature onto the very end of the Message Body, with a couple of blank lines above it so the cursor lands ready for you to just start typing.

Worth knowing: once the signature is in the body, removing it is a manual edit — unchecking the box only stops it being added again, it doesn't reach back into text you've already typed around. If you decide against it after the fact, delete it directly in the rich text box like any other text.

Attach files (optional)

The Attachments field accepts multiple files at once, right on the compose form. Whatever you select goes out as real email attachments when you save — not just stored for later.

Save — it sends immediately

Click Save. The message sends right away to everyone in To/Cc/Bcc, over whichever channel the Communication Type selected. After saving, the Replies and Attachments tabs become available on the same record — replies from a recipient route back to a single staff person, never fanned out to everyone else on the original thread.
